Purpose: Used for importing your resource planning data from your other ERP, accounting, HR, or construction management systems.
How to:
Download the Import Template
Add your data into the template mapped to the correct columns
Import the template with your data
Review for any errors and re-import if neccessary
Finalize Import to add/update the data into the system
Organization Setup
Business Groups
Purpose: Each Resource and Job must be assigned to a single Business Group. They are used for filtering resources, assignments, and jobs. Permissions to these Business Groups are assigned in Setup > Permission Groups to control user visibility.
Required: For Resource and Job setup.
Note: Organize by regions or company divisions to simplify resource allocation and job assignments.
Users
Purpose: Add and invite new users so they can view/create/edit the schedules and assignments. After new user is invited into the system, they will receive an email inviting them to sign up.
Permissions: Admins have full access to all setup pages in the system.
All users will need to be assigned to a Permission Group to get access to resources and jobs.
Permission Groups
- Purpose: Used for filtering resources, assignments, and jobs. Set up in Setup > Permission Groups to control user visibility.
Setup new group:
Hit the New Permission Group button
Name the group
Add the Business Group(s) you'll be sharing permissions for
Define access permissions per Job, Employee, Crew, and Asset for the specific Business Groups.
Can View
Allows users in this group to see the records that are selected
Assignments will follow the Job permissions. This means that users that only have Can View permissions for Jobs will see all assignments that are for that Job even if the user doesn't explicitly have permissions for Employees, Crews, or Assets.
- Can Edit
- Allows users in this group to edit and add new records that are selected
Can Delete
- Allows users in this group to delete the records that are selected
- Can View Sensitive
- Allows users in this group to see the values for:
- Total Hourly Rate
- Address and Address line 2
- User Email
- Personal Phone
- Allows users in this group to see the values for:
- Can Request
Allows users in this group to make requests for these records
Can Dispatch
Allows users in this group to assign resources to requests
Assign users to the Permission Group.
Request Templates
Purpose: Request Templates are used to bulk create assignments for a job on the Job > Assignments page. If a customer has typical assignments for different kinds of jobs they do, they can use these templates to make it easier to add all of those assignments at once to the Job/Opportunity.
For example: Restaurant Remodel jobs will allways have a Project Manager, Superintendent, Foreman, and 4 Apprentices for 100% allocation for the length of the project. Making a request template will allow users to quickly add all of these requests for these resources at one time.
Permissions: Normal users can only use the Request Templates that have already been setup by an admin.
Job Setup
Phases
- Purpose: Construction phases can be added to each opportunity/job and are used for splitting up the phases of consturction into smaller segments of time. This allows you to create assignments that are tied to the specific dates of the construction phase which helps auto adjust the dates of any assignment if the construction phase dates are changed.
Permissions: Assign construction phases to Jobs on the Jobs > Phase Page. Normal users can only add phases that are already created by an admin.
Note: The "Entire Job" phase is auto generated by the system if the Job has a Start and End date
Tags
Purpose: Use tags to categorize jobs and improve searchability/filterability.
Future Use: Tags will contribute to building employee work histories and enhancing resource recommendations.
Employee Setup
Positions
Purpose: Positions are selected during the resource request process and are used to recommend employees matching the positions that are requested. Includes salary/hourly rate fields for future cost projections.
Required: Mandatory for creating employees, employee resource requests, and requiring employee position specific certifications for jobs.
Certifications
Purpose: Track employee certifications and ensure alignment with job requirements. Once q request is made for a job that has certification requirements, employees that match the certification requirements will be shown on the recommnedation grid used when selecting the right resource for the request.
Asset Setup
Asset Categories
- Purpose: Categories are selected during the resource request process and are used to recommend Assets matching the categories that are requested. Includes cost rate fields for future cost projections.
Required: Mandatory for creating Assets and Asset resource requests.
Crew Setup
Crew Types
Purpose: Crew Types are selected during the resource request process and are used to recommend Crews matching the Crew Types that are requested.
Required: Mandatory for creating Crews and Crew resource requests.
