I9 Retention Notifier
Fiddletree Systems Onboarding Package ships with an I-9 Retention Audit Workflow Notifier. This notifier checks all inactive employee records and checks if they have a Form I-9 attached to them that no longer needs to be retained. The definition of the retention period follows the USCIS documentation found here: https://www.uscis.gov/i-9-central/form-i-9-resources/handbook-for-employers-m-274/100-retaining-form-i-9
Fiddletree recognizes a document as a form I-9 document based on its attachment type. Fiddletree Systems uses the attachment type set in HR Management > Portal Settings > Onboarding / ATS > General Configuration > I-9 Attachment Type when Initializing. Any document tagged with the attachment type found in this portal setting will be considered an I-9 by the I-9 Retention notifier.
I9 Reverification Notifier
Fiddletree Systems Onboarding Package ships with an I-9 Reverification Audit Workflow Notifier. This notifier checks the form I-9 documents to see if an employee requires reverification following the standards here: https://www.uscis.gov/i-9-central/form-i-9-resources/handbook-for-employers-m-274/60-completing-supplement-b-reverification-and-rehire-of-form-i-9
An email to the designated HR users set up in the Vista Job Manager when the employees are within 30 days of the Document A expiration date. Any employees that have not been reverified on supplemental B will continue to appear on this list until the reverification process has finished via the HR Management Onboarding portal.
Technical Review
Fiddletree Systems installs 2 views, 2 queries, and 2 jobs at install to the Viewpoint database. The jobs are set to run once a day at 12 am and by default are not enabled.
